As an Administrative Support professional, you'll play a vital role in creating an organized, welcoming, and efficient office environment while providing outstanding service to both clients and team members. No two days are exactly the same, making this the perfect opportunity for someone who enjoys variety, thrives in a fast-paced environment, and takes pride in keeping everything running smoothly.
This role serves as the operational hub of the office and plays an important role in supporting leadership, client experience, advisor effectiveness, and overall firm operations.
This is a full-time, in-office position based primarily in our Madison, Connecticut office, with occasional support in other Warner Wealth locations as needed.
What You'll Do
As a member of our Administrative Support team, you'll help create an exceptional experience for clients, advisors, and team members by:
Client Experience & Front Desk Operations
Greeting clients and visitors with professionalism, warmth, and hospitality
Serving as the first point of contact for phone calls and office visitors
Answering and directing incoming calls while providing exceptional customer service
Maintaining a polished, professional, and welcoming office environment
Ensuring conference rooms and meeting spaces are prepared for client appointments
Assisting with client paperwork, correspondence, and general service requests
Executive & Advisor Support
Managing advisor and executive calendars
Scheduling and coordinating meetings and appointments
Assisting with travel arrangements and leadership logistics
Preparing meeting materials, presentations, and supporting documentation
Supporting advisors with administrative tasks and day-to-day organization
Helping leadership and advisors operate efficiently by anticipating needs and maintaining organization
Office Operations
Coordinating incoming and outgoing mail and packages
Managing office supplies, inventory, and ordering
Coordinating with office, technology, and facility vendors
Assisting with internal team communications and scheduling
Supporting office initiatives, events, seminars, and special projects
Helping maintain operational consistency across departments
Special Projects & Team Support
Supporting firm-wide initiatives and process improvement projects
Assisting with confidential projects and leadership assignments as needed
Helping coordinate activities across advisory, operations, marketing, and client service teams
Taking ownership of tasks from start to finish while ensuring a high level of accuracy and follow-through

Preferred Qualifications
Bachelor's degree in Business, Communications, Management, or a related field preferred but not required
Experience in administrative support, executive support, client service, hospitality, office management, or financial services preferred
Proficiency with Microsoft Office applications
Experience with CRM systems, scheduling software, or project management tools is a plus
